Senior Executive
Job Summary:
The Personal Secretary provides comprehensive administrative and secretarial support to the Surgeon, ensuring efficient management of their professional schedule, communication, patient coordination, and related documentation. The role requires professionalism, confidentiality, and a strong understanding of hospital operations and medical protocols.
Key Responsibilities:
- Administrative Support • Manage the surgeon’s calendar, schedule patient appointments, surgeries, meetings, and conferences. • Screen and handle incoming calls, correspondence, and emails. • Maintain organized filing systems for patient records, reports, and confidential documents.
- Patient Coordination • Act as the primary contact point for patients seeking consultations with the surgeon. • Coordinate pre-operative and post-operative appointments. • Liaise with other hospital departments (nursing, billing, diagnostics, etc.) for smooth patient flow. • Ensure patient confidentiality and adherence to medical privacy policies.
- Operational Support • Track surgical schedules, operating room slots, and case documentation. • Manage billing coordination for consultations and procedures (if applicable). • Monitor and maintain office supplies, medical stationery, and logistics support.
- Communication and Liaison • Liaise with hospital administration, medical staff, and external stakeholders on behalf of the surgeon. • Communicate professionally with patients, families, and referring physicians. • Prepare summaries, reports, and meeting minutes as required.
- Qualifications and Skills: • Bachelor’s degree (preferably in Administration, Healthcare Management, or related field). • Minimum 1–2 years of secretarial/administrative experience, preferably in a healthcare or hospital environment. • Excellent written and verbal communication skills. Strong organizational and multitasking abilities. • High degree of discretion, confidentiality, and professionalism. • Proficiency in MS Office (Word, Excel, PowerPoint) and hospital information systems (HIS).
